How to Create a Training Manual in Word?
Have you ever been in a situation where you lack user documentation and instruction because you do not know how to write a training manual? Because a training manual is important in teaching new employees about a company or old employees about new systems or programs, it is vital that, as early as now, you already prepared it for them. With that, we can help you through the following steps that will guide you on creating a training manual.
1. Establish the Objectives
Identifying and establishing the objectives is a crucial step in training manual creation as it will set the tone of the manual as a whole. It is important that the key personnel or management will constantly ascertain the learner’s needs and map them against organizational objectives. This is because only 11% of the learners admitted that they apply the skills learned and received from training to their job. Examples of objectives are as follows: on-boarding checklist of new employees, up-skilling existing employees, preparing employees for promotion, and increasing productivity through changing employee attitudes.
2. Know Your Target Audience
A training manual can only be effective when it is particularly targeted on a specific audience. It is vital that you know and understand your audience—their background, behavior, jobs, industry, language proficiency, among others—as this will help you adopt the right approach to deliver the training materials and avoid recurring on-the-job errors.
3. Develop Your Training Materials
Open MS Word in your device and create a new formal document. Now that you have already established your objectives and determine your audience, you can now develop and outline your training material, keeping the following tips in mind: introduce the objective of the training manual, write chapter previews, paint the step-by-step solution that you would like to present, use a combination of text and visuals to increase the learners’ engagement, and summarize the key points at the end of each chapter to instill long-term memory
4. Include a Section for User Notes
It is expected that learners will be trying to take in a lot of information while reading the manual. So, in order to aid them retain a huge amount of information, provide blank spaces for writing notes, a notes section, so they can jot down the key points.
5. Acquire Feedback
If you think you are done when you have already compiled all the necessary papers and information for training manual creation, well, not yet! You still need to acquire feedback and perform usability testing by letting another team member proofread your work and provide useful feedback. Having another person to look from a fresh perspective will help you spot any typo and grammatical errors and will help ensure that the content of your manual is easily understandable, accurate, and complete.
6. Finalize and Save
Lastly, finalize your work before launching it on your official website or sending it for printing. Do not forget to save a soft copy in case you need it in the future.
