How to Set a Shift Schedule in PDF
Shifting schedules are common in companies that operate longer than companies that operate in normal business hours. The most common length of a business day is 8 hours.
Shifting schedules are common in companies that observe the time of other countries. Having different foreign countries as clients is a considered factor. But not all companies that implement shifting schedules are BPOs, there are also businesses that provide services 24 hours in all seven days of the week for the welfare of the people, like some convenience stores, hospitals, pharmacies, and police stations. These companies follow a shifting schedule and below is how it is set.
1. Get the Roster of Employees with Shifting Schedule
List the employees designated with shifting schedules. Yet some employers already give schedule assignments to new hires, some are yet to lay out their scheme for the work schedule of their limited manpower. Having their list help determine the possible number of shifts that can be actualized in a day.
2. Create Shift Schedules
Knowing the feasible number of shifts for operations, identify the type of shift schedule to be implemented. Fixing one type of schedule is better, so the staff wouldn’t have a hard time adjusting to unpredictable changes. Go for two-shift schedules, day and night, rotating shifts, or split shifts. Choose what is best. Giving employees their fixed schedules is also recommendable. Considering all these things, create the time periods of each schedule.
3. Assign Schedule to Staff
Considerate companies hold meetings to come into agreement with the employees about their shifting schedule and the proposed scheduling scheme. Let them or help them decide their respective schedules. Allowing them to choose their own schedule will give you an assurance that they can manage to work in those schedules. In cases when a lot of them wanted a certain shift schedule, you have to call the shots for them. Assign every schedule then you can start arranging the schedule in a document.
4. Organize the Schedule in PDF
Record the shift schedule you have plotted on your computer. Just when you thought that all you can do in PDF is to view files, it can set up the schedule with its tools. Create a table. Label the columns of the table with Names and the days of the week. Write the list of the employee names under Names and their preferred work schedules under each day of the week. Legend the shift schedule and their time periods. Save the file when complete.
5. Save Some Customizations
Make a little customization to the chart of the shift schedule. Apply colors following your legend. This is just to easily identify the sorted shift schedule of each employee. Use one color per shift. Take time to review the details of the schedule if it syncs with your raw data earlier. Do final changes, save it again then there you have it, an organized shift schedule for your organization or business!
